Your first shared list in four steps.

Shared Lists is designed to be useful immediately, whether you are organizing groceries, family tasks, a trip, an event, or a small team workflow.

Start your way

Create an account, sign in, or choose Try Shared Lists to explore the app in Guest mode first.

Create a list

From My Lists, choose the New List action, give your list a clear name, and open it to start adding items.

Invite people

Open the list sharing options and send a link, QR code, or invitation code to the people who need access.

Work together

Add, edit, complete, and restore items. When online, changes sync so everyone sees the latest list.

Getting started

Choose Guest mode or create an account, then make Shared Lists your own.

Guest mode

Try Shared Lists without an account

On the welcome screen, choose Try Shared Lists. Guest mode is meant for trying the core experience before registering.

  • Create 1 guest-owned list.
  • Add up to 5 items total as a guest.
  • After the guest limit is reached, Guest mode becomes read-only until you create an account.
Checking, unchecking, or deleting items does not create a new guest allowance. The guest limit is a lifetime trial limit for that guest session.

Keep your guest list when you sign up

If you create a new account from the same guest session, your eligible guest data can carry into that new account.

Important: If you sign in to a different, already-existing account instead, guest data is not transferred to that existing account.

Available sign-in methods

Depending on your platform, Shared Lists supports:

  • Email and password
  • Sign in with Google
  • Sign in with Apple

Your login email and credentials are not displayed to other list members.

Profile

Your name and profile

Your profile name is what collaborators can recognize inside shared lists. You can update your display name and profile options from the Profile area.

Shared Lists also uses a unique username/handle where required for account identity and collaboration.

Create lists for everyday life, shared work, travel, events, checklists, and more.

Create

Create a new list

  1. Open My Lists.
  2. Choose the New List action.
  3. Enter a clear list name.
  4. Create the list, then open it to add items or invite members.

Your active-list limit is based on the plan of the person who owns the list.

Overview

Understand the list counters

A list can show the most useful information at a glance, including:

  • To-do items that are still active.
  • Done items already completed.
  • Deleted activity where available.
  • Members currently connected to the list.
Add items

Add items quickly

Use the add-item field or Quick Add suggestions to create items. Depending on the current interface, an item can include details such as quantity, unit, or notes.

Every new item counts toward the applicable monthly creation allowance. Editing an existing item does not create a new item.

Complete

Mark an item as done

Check an item when it is completed. Other members can see the updated status once the change syncs.

If you tapped it by mistake, use the immediate Undo action when it appears. An immediate undo does not use your normal restore allowance.

Edit & restore

Edit or restore later

Plans include a defined number of edits and restores for each item. Free, Silver, and Gold allow one counted edit and one counted restore per item; Diamond allows up to three.

A restore is when a previously completed item is returned to the active/to-do state after the immediate Undo window has passed.

Delete

Delete a list you no longer need

Deleting a list permanently removes that list and frees an active-list slot for the owner. Members lose access after the deletion syncs.

Permanent deletion is different from archiving. Gold and Diamond owners should use Archive when they want a read-only record kept for reports during the retention period.

Share a list and join other people

Invite the right people, manage member capacity, and understand what happens when somebody leaves.

Invite

Invite someone to your list

  1. Open the list.
  2. Open its sharing or member options.
  3. Choose the available link, QR code, or invitation code.
  4. Send it to the person you want to join.

Member capacity is determined by the list owner's plan.

Join

Join an invited list

Open the invitation link or QR code, or enter the invitation code in the app where the Join List option is available.

If the list is already at its member capacity, or its invitation is no longer valid, the app will not complete the join.

Members

Owner vs. member

The owner controls list-level actions such as invitations, member removal, archiving, and permanent deletion. Members can work with items according to the actions allowed by the list and plan.

Lists you join as a member do not use one of your owned active-list slots.

Replacements

What is a member replacement?

A replacement happens when one collaborator leaves or is removed and another person is added in their place. Each plan includes a per-list replacement allowance.

When that allowance is exhausted, the app can disable further replacements/invitations for that list until they become available again under the applicable plan rules.

Leave

Leave a shared list

Leaving removes your membership and access. The list and its items remain available to the owner and other members.

Previous activity may remain in the list history so other collaborators can still understand who created, edited, or completed an item.

Deleted account

History after an account is deleted

Shared-list history may keep a display-name snapshot for past activity. When the original account no longer exists, history can show the contributor as an account-deleted user rather than exposing login information.

How rewarded ads work for list capacity

Free includes five active owned lists. When you need more, the app can offer rewarded ads to unlock additional active-list capacity, up to a maximum of ten active lists.

Rewarded ads are optional actions tied to an unlock. They are not interstitial ads that interrupt normal use.

Free items

Monthly item capacity can be unlocked in stages

The Free plan has a 300-item monthly ceiling. The app may unlock Free item creation progressively and offer a rewarded ad only when another usable block of capacity is available.

A rewarded ad is only offered when watching it would actually unlock more usable capacity.
Monthly reset

Your monthly item allowance

The item allowance resets on your account's own monthly cycle rather than necessarily on the first day of the calendar month.

  • Unused item allowance does not roll over.
  • Deleting, completing, or editing an item does not refund a created-item count.
  • Existing items remain usable when the monthly creation limit is reached.
Owner plan

Whose limit controls a shared list?

List capacity, member capacity, and creation rules are tied to the owner's plan. If you are only a member of somebody else's list, that list does not consume one of your owned active-list slots.

Upgrade

What happens after an upgrade?

After the app store confirms the purchase, the higher plan becomes available to your Shared Lists account. If the plan does not refresh immediately, reopen the app or use Restore Purchases from the plan screen.

Downgrade / expiry

What happens when a lower plan takes effect?

Existing active lists and items are not deleted just because they are above the new plan's capacity. New creation can be blocked until your active usage is within the new plan limit.

If the new plan does not include Archive, archived content can no longer be retained under that feature. Export any information you need before the lower plan takes effect.

Billing

Manage or cancel your subscription

Silver, Gold, and Diamond subscriptions are billed through the store account used for the purchase. Change or cancel the subscription from your Apple App Store or Google Play subscription settings. Deleting the app or deleting your Shared Lists account does not automatically cancel a store subscription.

Store price, tax, billing currency, promotions, and renewal terms can vary by platform or region. The purchase screen shown by your app store is the billing source of truth.

Offline use and synchronization

Keep moving when your connection disappears, then let Shared Lists reconcile changes safely.

Offline

What you can do without internet

For signed-in users, cached lists remain available and common item actions can continue offline, including adding, checking/completing, and editing items where the action is allowed.

Changes are kept as pending work and synchronized after your connection returns.

Online required

Actions that need a connection

Some actions need the server or app store and therefore require internet access. These can include:

  • Rewarded-ad unlocks
  • Subscription and purchase verification
  • Invitations and membership changes
  • Archive/report actions that require server processing
  • Permanent list deletion
Delete offline

Why list deletion is disabled offline

Permanent deletion can affect every member and all related list data. Shared Lists requires a reliable connection before carrying out destructive list deletion.

Sync status

Understand pending and synced changes

The app can show states such as Saved offline, Pending, Syncing, or Synced so you know whether a change has reached the shared list.

When working offline, avoid repeating the same action several times. Wait for synchronization after reconnecting before recreating something that already appears locally.
Conflicts

What if two people change the same item offline?

If collaborators make conflicting changes before either device reconnects, Shared Lists resolves the conflict when the queued changes reach the service. A later device can be told that the action was already completed or added earlier by another member.

Guest offline

Guest limits still apply offline

Guest mode remains limited to its one list and five-item trial allowance even when the device is offline. Deleting or completing items does not recycle that guest allowance.

Archive, reports, and Excel export

Keep completed list history when your plan includes long-term reporting tools.

Archive

Who can archive lists?

Gold and Diamond include archive retention. Free and Silver do not include Archive.

  • Gold: 90 days
  • Diamond: 180 days
Read-only

What happens after archiving?

An archived list no longer counts as an active list, so it frees an active-list slot. During its retention period it remains available as a read-only record.

Archived lists are not intended for adding new items, changing members, or continuing normal list activity.

Retention

What happens when retention ends?

After the applicable 90-day or 180-day retention period, archived data can be permanently removed. Archive should therefore be treated as time-limited history rather than permanent backup storage.

Reports

View reports

Gold and Diamond include reporting tools that can summarize eligible list activity. You can choose a range, but reportable history is limited by the archive/data retention available to your current plan.

Excel

Export to Excel

Gold and Diamond can export eligible report data to a spreadsheet file for further review, record keeping, or analysis outside Shared Lists.

If you plan to move to a tier without archive/report access, export anything important before the lower tier takes effect.
Delete vs archive

Choose the right action

Delete when you no longer need the list or its history. Archive on Gold/Diamond when you want to free an active-list slot while keeping a read-only record for the plan's retention period.

Account, devices, and privacy controls

Manage your profile, move between devices, restore purchases, and delete your account when needed.

One active device

Signing in on another device

Registered accounts use a single active-session model. If your account is already active on another device, the new device can show an Already signed in elsewhere message.

Choose Use this device to move the active session to the new device. The previous device is signed out. Choose Cancel to keep the existing session.

Cloud sync

Moving your lists to a new phone

Sign in to the same registered Shared Lists account and allow the app to synchronize. An internet connection is required to retrieve the current shared data.

Guest sessions do not provide the same account-based recovery as registered accounts.

Restore purchase

Your paid plan is missing

  1. Confirm you are signed in to the correct Shared Lists account.
  2. Confirm the same Apple ID or Google Play account used for the purchase is active.
  3. Open the Plans screen and use Restore Purchases.
  4. Reopen Shared Lists if the status does not refresh immediately.
Delete account

Permanently delete your account

Open your Profile and use the account deletion option. Read the confirmation carefully before completing the request.

Deleting the app from your phone does not delete your Shared Lists account. Account deletion must be requested from the account controls or through the official support route when you cannot access the app.
After deletion

What remains after account deletion?

Owned account data is removed or de-identified according to the Privacy Policy and applicable retention requirements. Activity that forms part of another person's shared-list history may remain in de-identified/history form so the collaboration record still makes sense.

What other members can see

Other members need a recognizable name for collaboration. Your login password is never visible to them, and your email address is not displayed as a normal shared-list identity.

Notifications and activity

Push notifications

What can trigger a notification?

When notifications are enabled, Shared Lists can notify relevant list members about collaborative activity such as an item being added, deleted, or marked as completed.

Offline queue

Notifications after offline work

If a change is made while offline, the list action first waits to synchronize. Related notifications can be sent after the queued change successfully reaches the service.

Activity history

See who changed an item

Where available, Item Changes or activity history helps members understand who created, edited, completed, restored, or otherwise changed an item.

Not receiving alerts?

Check notification permissions

Make sure notifications are allowed for Shared Lists in your phone's system settings and that the device has a working internet connection. Battery restrictions can also delay background delivery on some devices.

Troubleshooting

Quick checks for the most common list, sync, invitation, plan, and account issues.

My changes are not syncing

  1. Check that your device is online.
  2. Look for a Pending, Saved offline, or Syncing indicator.
  3. Wait a moment after reconnecting instead of repeating the same change.
  4. Close and reopen Shared Lists if the status remains stuck.
  5. If other members still cannot see the change, contact Support with a screenshot.

I cannot add another item

Possible reasons include a Guest limit, a Free rewarded-unlock boundary, the monthly item creation ceiling, or the owner plan's current capacity.

Open your usage counters or Plans screen to see the current limit and available next action.

I cannot create another list

Your owned active-list capacity may be full. Free users can have five active lists by default and may unlock additional slots up to ten through rewarded ads. Paid plans have higher fixed limits.

Deleting an unneeded active list frees a slot. Gold/Diamond can also archive an eligible list.

I cannot invite another member

The list may already be at the owner's collaborator limit, the per-list replacement allowance may be exhausted, or the invitation may have been invalidated by an archive/delete/member change.

An invitation code does not work

Ask the owner to confirm that the list is still active, has available member capacity, and that the invitation is still valid. Archived lists cannot accept new collaboration.

The app says I am signed in elsewhere

Your account is active on another device. Choose Use this device if you want the current device to become your active session. Otherwise, cancel and continue using the first device.

My subscription is active but the app shows Free

Confirm your Shared Lists account and store account, then use Restore Purchases. If the plan still does not appear, contact Support and include the app version, platform, and purchase status shown by the store.

I deleted the app. Is my account gone?

No. Uninstalling the app does not itself delete your Shared Lists account. Reinstall and sign in again, or use the account deletion process if you want the account permanently removed.

I changed my plan and have too many lists

Moving to a lower plan does not delete your existing active lists, even if you now have more than the new limit allows. You can keep using your existing data, but creating new lists may be blocked until your active usage is back within the limit.

Can I recover a permanently deleted list?

No. Permanent deletion cannot be undone. If the list was archived instead and is still inside the plan's retention period, it may remain available as read-only history.

Before contacting Support

Include the email used for your Shared Lists account, device model, operating system, app version, a short description of what happened, and a screenshot or screen recording when possible. Never send your password.

Languages

Multilingual interface

Shared Lists supports multiple interface languages, with right-to-left layouts where applicable. Current builds may include English, Arabic, German, Persian, French, Hindi, Japanese, Urdu, Simplified Chinese, Russian, Portuguese, and Spanish.

Available languages can vary by app version and platform.

Privacy reminder

Shared Lists is designed for the people you choose to collaborate with

Use invitation links and codes only with people who should have access to the list. Avoid placing passwords, payment-card numbers, government identifiers, or other highly sensitive information in ordinary shared-list items.
